What we collect and why
Booking a campervan
When you make a booking we collect your name, contact details, the dates and locations of the rental, and the details needed to prepare the rental agreement and the invoice.
Bookings run on HQ Rental Software, which stores the data on European infrastructure on our behalf. They act as our processor, which means they handle the data only to provide the booking system to us.
Legal basis: performance of the rental contract, and our legal obligations for invoicing and tax records.
Contact form
The form on our contact page asks for your name, email address and your message. We use them to answer you. The form is protected by Google reCAPTCHA, which checks that the sender is a person and not a script. Google may set cookies and process technical data for that check, and the Google privacy policy and terms of service apply.
Legal basis: our legitimate interest in answering enquiries, and in keeping the form free of spam.
WhatsApp and email
If you write to us on WhatsApp or by email, we keep the conversation so we can follow it up. WhatsApp is operated by Meta and their own terms apply to messages you send through it.
Legal basis: our legitimate interest in answering you, or performance of the contract if the message is about a booking you have made.
Review invitations
After a rental we may invite you to leave a review. The invitation is sent through a review platform such as Trustpilot, which acts as our processor for that message and receives your email address and the rental reference. Every invitation carries an unsubscribe link, and you can also tell us directly that you would rather not receive them.

Statistics
If you accept statistics cookies, Google Analytics tells us which pages are visited and how visitors found us. We use that to decide what to improve on the site. Nothing loads until you accept, and you can withdraw at any time through the cookie settings.

Embedded content
Our contact page embeds a Google map, and some pages show our Instagram feed. Embedded content behaves as if you had visited that company directly, and it can set cookies and collect technical data about you. The map loads only after you accept marketing cookies.

Security and hosting
Our site logs technical data such as IP addresses to block attacks and keep the site available. This happens for every visitor and does not depend on cookies.

Who we share data with
We share personal data only with companies that provide part of our service, and only as far as they need it:
- HQ Rental Software, for bookings and rental agreements
- Our hosting provider, for running the website
- Review platforms, for review invitations
- Google, for Analytics, reCAPTCHA and Maps
- Our accountant and, where the law requires it, the Portuguese tax authority
We do not sell personal data and we do not share it for other companies to advertise to you.
Transfers outside the EU
Google is based in the United States. Where data reaches them, the transfer relies on the European Commission adequacy decision for the EU-US Data Privacy Framework, or on standard contractual clauses. Booking data stays on European infrastructure.
How long we keep it
- Booking, rental agreement and invoicing records: for as long as Portuguese accounting and tax law requires us to keep them.
- Enquiries that do not lead to a booking: until the enquiry is closed, and for a short period after in case you come back to us.
- Analytics data: for the retention period set in Google Analytics.
- Consent records: for the lifetime of the consent cookie, which is one year.
Your rights
You can ask us to:
- tell you what personal data we hold about you and give you a copy
- correct anything that is wrong
- delete data we no longer need to keep
- restrict or object to how we use it
- send your data to another provider
- withdraw consent you have given, at any time, without affecting what we did before you withdrew it
Write to info@oceancamper.com and we will answer. We may ask you to confirm who you are before we act, so that we do not hand your data to someone else.
Complaints
If you think we have handled your data badly, please tell us first so we can put it right. You also have the right to complain to the Portuguese data protection authority, the Comissão Nacional de Proteção de Dados (CNPD), at www.cnpd.pt.

When this statement changes we update the date at the top of the page.
